Accurate, timely timesheet submission is one of the most important responsibilities you have as a temporary worker. Errors or late submissions can delay your paycheck, create friction with the agency, and in some cases affect whether you are offered future assignments.
How Staffing Agency Timesheets Work
Most staffing agencies use one of three timekeeping methods: a paper timesheet you complete and submit at the end of each week, an online portal or mobile app where you enter your hours, or a time clock system at the client’s facility that records your hours automatically. Your recruiter will explain the method during your intake or before your first assignment starts.
Common Timesheet Mistakes to Avoid
- Forgetting to log breaks: Many agencies require you to log your start time, any unpaid break, and your end time separately. A single daily entry is often not sufficient.
- Submitting late: Most agencies have a cutoff time — often end of day Friday — for submitting hours to be included in that week’s payroll. Missing the cutoff typically means waiting until the following pay period.
- Inaccurate hours: Do not round aggressively. If your shift ended at 4:47, record 4:47. Inflating hours is a serious issue that can result in termination and may have legal consequences.
- Missing supervisor approval: Many systems require your on-site supervisor to approve your timesheet. If they are unavailable, contact your recruiter before the deadline rather than submitting unapproved hours.
What to Do If Your Pay Is Wrong
Payroll errors happen. If your paycheck does not reflect the hours you worked, contact your agency’s payroll department immediately with your timesheet records as documentation. Most agencies have a correction process and can issue an adjustment or early payment in cases of clear error.
Keep Your Own Records
Regardless of the timekeeping system the agency uses, keep your own record of your daily start and end times. A simple note in your phone is enough. Having your own documentation makes it much easier to resolve any discrepancy quickly and accurately.
